Frequently Asked Questions
How do I book the venue?
Everything is done online. Select your date and complete your booking through our secure payment portal. You'll receive an instant confirmation email.
What is the deposit policy?
A deposit is required at booking — $100 for weekdays (Mon–Thu), $150 for weekends (Fri–Sun). The remaining balance is due the day before your event.
What forms of payment do you accept?
We accept all major credit cards and debit cards through our booking platform.
How do I get into the building?
Once your final payment is confirmed, you'll receive a unique digital access code via email. Enter your code on the keypad at the front door — no keys, no check-in required.
When can I arrive to set up?
Your access code becomes active at the start of your booked time. Please plan your set-up within your booked hours.
What happens if I'm locked out?
Contact us at (937) 251-8805. We can reset or resend your access code remotely.
What if a breaker trips or a light stops working?
All breakers are numbered and correspond to specific outlets and lights throughout the venue. Locate the numbered breaker panel, find the matching number, and flip it back on. If the issue persists, call us at (937) 251-8805.
Is there parking available?
Yes — there is a public parking lot on-site, plus overflow public parking across the street next to the library.
Is alcohol allowed?
Yes, as long as Ohio state regulations are followed. Selling alcohol requires a proper permit.
Can I use my own caterer or bring outside food?
Yes — any food is permitted, whether you cater or bring it yourself.
Is there a sound system?
Yes — a sound system is included with every rental at no extra cost, ready for music, mics, and announcements.
Where does the trash go?
All trash must be bagged and placed in the trash cans to the right of the entrance at the front of the building. Please don't leave trash bags inside the venue.
What happens if my event runs over time?
Overtime is charged at $100 per hour and billed automatically. Please plan accordingly to avoid additional charges.

Taking Care of the Space
A few simple rules keep the venue beautiful for every event that follows yours.
Access & Hours
- Your digital access code is valid only during your booked time window
- All guests must vacate and the building must be locked by your scheduled end time
- Overtime is charged at $100 per hour and billed automatically
Capacity & Responsibility
- Maximum capacity: 100 guests
- The booking holder is personally responsible for the behavior of all guests
- Any damage, theft, or unsafe behavior is the sole responsibility of the booking holder
Alcohol & Smoking
- Alcohol may be served but must be managed responsibly by the booking holder
- Selling alcohol without a proper permit is strictly prohibited
- Events at Bellbrook assumes no liability related to alcohol consumption
- Smoking of any kind is prohibited inside — please use designated outdoor areas
Decorations
- Balloon decorations are welcome
- No confetti, glitter, or open-flame candles
- Nothing may be nailed, stapled, or permanently affixed to walls or ceilings
Damage & Cleanliness
- Return the venue in the same condition you found it
- Damage beyond normal wear will be charged against your security deposit
- Bag all trash and place it in the designated area before departure
- Return furniture to its original arrangement
Security
- Security cameras are active at all entry points and common areas
- Any theft, vandalism, or unsafe behavior will be reported to local authorities
